Marketplace Assistant and PA to the director - Sheffield Doc/Fest

16 month Contract from March 2010 to July 2011, £16500 pro rata

Sheffield Doc/Fest is the UK's premier documentary festival, market and conference. Doc/Fest delivers events all year round with the major event, the festival, over 5 days in November. The festival team is small and prides itself on the boutique nature of the festival and the year round excellent service it provides the industry and audience.

This role involves the coordination of existing and developing marketplace activities, in order to assist the Marketplace Producer in the production and development of all Marketplace activities. The Marketplace Assistant will help to develop the breadth of year-round marketplace events, the domestic and international profile of Sheffield Doc/Fest’s marketplace, coordinate market training opportunities, and increase the production value of MeetMarket and other marketplace events at the festival. (4 days per week). It also involves acting as a PA to the Festival Director (1 day per week)

Job Description:

This role involves the coordination of existing and developing marketplace activities, in order to assist the Marketplace Producer in the production and development of all Marketplace activities. The Marketplace Assistant will help to develop the breadth of year-round marketplace events, the domestic and international profile of Sheffield Doc/Fest’s marketplace, coordinate market training opportunities, and increase the production value of MeetMarket and other marketplace events at the festival. (4 days per week)

It also involves acting as a PA to the Festival Director, managing her meetings, travel and diary, and carrying out regular reconciliations of her travel and expenses. (1 day per week)

Location (Negotiable):
EITHER (depending on circumstance):
Based primarily in London but definitely required to be based in Sheffield for 3 months from (approximately) the second week of August to the first week of December

OR:
Sheffield year round with some days in London as required

Essential Requirements:
  • Knowledge, and at least 1 year’s experience, of the documentary industry     and marketplace/funding
  • A high level of organisation and attention to detail
  • Experience of working within a budget
  • Experience of working within film festivals and/or arts event administration
  • Ability to deal professionally with important representatives of the film, TV and cross-platform industries
  • A strong interest in documentary and factual media, and the documentary marketplace
  • Experience of working independently within a small team
  • Experience of PA work, ideally within a festival or film organisation
Desired Requirements:
  • Experience of media education and workshops
  • Experience of arts funding applications
Specific tasks
  • Managing the regional pitch workshops, including booking venues and other practical details (and staying within allocated budget), publicising them regionally, attending workshops where necessary, tracking long-term outcomes from workshop attendees (including offering advice and mentoring where necessary), and assisting in the production of funding reports.
  • Assisting in gathering data for funding reports to key marketplace funders
  • Assisting in identifying and researching new avenues of funding for the marketplace, including from sponsorship and foundations, etc.
  • Researching potential new buyers and decision-makers to attend the marketplace, especially in the areas of new platforms and distribution, including distributing key MeetMarket outcomes to potential attendees in order to persuade them to attend
  • Assisting in the collation of ongoing tracking reports of MeetMarket and other pitch participants, and staying in touch with them
  • Sending key marketplace outcomes to UK decision-makers and ensuing year-round contact between marketplace team and UK documentary industry
  • Developing the production, stage management and visual identity of MeetMarket
  • Assisting in the development of a standalone cross-platform market at Sheffield Doc/Fest
  • Assisting in the delivery of Crossover New Entrants course, and any other potential Crossover-Doc/Fest collaborations and other Doc/Fest training/education schemes
  • Liaising with regional filmmakers, and ensuring a presence in all UK regions, in consultation with Marketplace Producer
  • Liaising with filmmakers and film institutes in identified priority countries for 2010, in consultation with Marketplace Producer
  • Assisting in the development and production of new marketplace events, and new pitches
  • Assisting in the maintenance of relationships between Doc/Fest and existing pitch producers.
  • On-the-ground liaison in Sheffield from mid-August to early December with venues  and other festival departments
  • Managing the Festival Director’s Meetings, travel and diary
  • Carrying out regular reconciliations of the Festival Director’s travel and expenses.
